Case study 1 – the genealogist

Ivan is a genealogist who runs his own business providing family and local history research. He works on his own and spends the majority of his time in archives and libraries. He is concerned that he is missing potential customers as he is unable to answer his phone whilst researching. He is also concerned that the administrative side of his business is in a bit of a mess.

How Halcyon Helps

The first thing we do is set Ivan up with a call answering service. For a small monthly fee all Ivan’s phone calls are answered by a professional receptionist who deals with all enquiries. This gives peace of mind to Ivan who knows he won’t miss a client through failure to answer the phone.

Second thing we take charge of is Ivan’s administration. Ivan has dealt with a lot of clients over the years he has run his business but he doesn’t have a good system to keep a track of everyone. From his existing records we create a simple contacts database which not only lists all his clients with notes of what research he carried out for them but also all his suppliers and professional contacts.

From his client database we create a newsletter list so Ivan can keep clients informed of his work and business. This means that clients are kept informed of the services he provides, ensuring that when they need further research they will return to Ivan.

Case study 2 – the period costumier

Ella runs a business creating historically accurate clothes for stage, screen and individuals. She has a workroom where she and her small team of seamstresses design and create carefully researched clothing. Ella has noticed an increased interest in sewing and designing historical clothing and would like to offer workshops for the general public but hasn’t had the time to put her thoughts into action.

Once the content and dates have been decided we mail her private clients as well as specialised and local press. We then deal with all aspects of setting up the course, writing the syllabus, materials list and health and safety information, adding a page to her website with information on the workshops, dealing with all enquiries, booking the attendees and taking payment. Once the workshop has taken place we contact the participants for feedback and to let them know of future workshops.

Our support enables Ella to offer workshops whilst continuing to run a successful costumier business.
